Plastic bag sample approval for holiday orders: what to confirm before production

A bag sample may look right without answering every question before an order is placed. Does it use the specified material and thickness? Is the print intended for layout approval or as a color reference? Has the packing configuration been checked, or is it still only described in the RFQ?

 

For importers and distributors preparing holiday orders, plastic bag sample approval is the point at which the supplied sample is compared with the agreed requirements. Your feedback should tell the manufacturer which elements are accepted, which need revision and which remain unconfirmed.

 

Why the scope of sample approval needs to be clear

A reply saying “sample approved” may be understood as approval of the entire product, even if the reviewer has only checked the printing. If the end customer subsequently requests changes to the handles, message or packing, the manufacturer needs to know whether those changes replace an earlier approval.

 

Define the scope when the sample arrives: identify the sample and SKU, the specification version it will be checked against, and the questions the review needs to answer.

Identify what the sample is intended to confirm

Different samples and reference materials can serve different purposes. Ask the manufacturer how the sample was made and whether any features differ from the intended product.

These distinctions provide a basis for discussion with the manufacturer. They are not a mandatory sampling sequence for every order.

 

A proof used to check text and layout is not automatically a color reference. If color approval is required, agree separately on the sample or reference material that will be used for comparison.

 

Compare the sample with the order specification

Before checking the sample, place it alongside the current specification and artwork. Record the sample code, receipt date and document versions so that the review can be traced back to the correct references. Use the agreed measurement conventions. Does the width refer to the bag with its gussets folded or fully opened? Does the height include the handles or refer only to the body? Without a shared definition, the buyer and manufacturer can reach different conclusions about the same sample.

For material and thickness, compare the information supplied by the manufacturer and, where needed, measurements taken using an agreed method. Descriptions such as “thicker” or “softer” are useful initial observations, but they do not replace confirmation of the specification.

 

Review construction, use, printing and packing

Construction and handling

For a shopping bag, review the opening, handles, gussets and base against the requested construction. If the bag will hold a holiday gift set, try it with the intended products or items of equivalent dimensions to assess how easily they can be inserted, removed and carried.

 

If load capacity is an order requirement, both parties need to agree on the load, test method and acceptance criteria. A single carrying trial is not enough to establish a guaranteed load capacity for the entire production batch.

Printing

Compare the wording, artwork version, printed sides, reading orientation and image placement. For holiday bags, pay particular attention to seasonal messages, any printed year and content recently revised by the end customer.

 

Comments should identify a specific change. “Move the front logo down as shown on the attached markup” is more actionable than “the logo does not look right.” Color comments should refer to the comparison reference agreed by both parties.

Packing

A few loose bags cannot confirm the number of bags per pack, packs per carton or the method used to identify each SKU. If the sample does not include packing, record that this item has not been checked. Confirm it through appropriate documentation or a sample, as agreed with the manufacturer.

 

Record changes before authorizing production

Once the manufacturer responds, check how each open item has been resolved. This may involve revised documentation, photographs, an additional sample or another method accepted by both parties.

 

If requirements change after an earlier approval, state which elements have been replaced and which remain unchanged. Distributors should also identify who is responsible for consolidating comments and issuing the final confirmation on behalf of the buyer.

 

An approved sample provides a reference for the features that have been agreed. It does not, by itself, demonstrate that every item in the production batch will be identical. Batch inspection criteria and quality requirements still need to be confirmed separately.
