You already have the bag dimensions, material, thickness, printing, packing and required quantity. The next step is to find a manufacturer that can interpret the RFQ correctly, identify the points that still need confirmation and quote the intended product.

For year-end holiday orders, you need speed, accuracy and a quotation built on the right specification. But what happens after you send the RFQ? Understanding the manufacturer’s review process gives you greater control over the enquiry and the decisions that follow.

A plastic bag RFQ can be commercially detailed and still contain gaps from a manufacturing perspective. Dimensions, film thickness, gussets, seals, printed sides and packing instructions may be interpreted in different ways.

A manufacturer’s response therefore needs to distinguish the information already confirmed from the points that remain open. These details form the basis of the quotation and the technical discussion that follows.

For a holiday programme, the RFQ should also state the required in-warehouse date or another clear delivery milestone. The manufacturer can then assess timing against the requirements of that specific project rather than applying a generic lead time to every order.

This stage can take time when the parties work across different time zones or when a distributor needs to reconfirm a point with the customer that placed the order.

It may become one of the most time-consuming parts of the quotation process, but it is also one of the most important. The confirmed information becomes the reference for the steps that follow. Clear status control also prevents different manufacturers from using different assumptions and producing quotations that appear comparable when they are not.

When should you add artwork, photographs or a reference sample?

Photographs can help confirm the overall bag shape, handle type, gusset, seal, print position and folding method. Artwork supports the review of print colors, printed sides, orientation and layout.

If the construction is difficult to describe, or if the buyer wants to develop a product from a bag already in use, a physical reference sample can be sent to VNK’s for project analysis and specification discussion.

However, a photograph or sample does not by itself confirm the resin type, film thickness, tolerances, load performance or legal requirements. Those points still need to be recorded and confirmed separately. The buyer should manage the RFQ, artwork, photographs and sample under the same project code and use revision numbers when documents change.

Suppose a distributor sends the following RFQ for a T-shirt bag used in a year-end programme.

Initial RFQ

– Product: White T-shirt bag
– Material: HDPE
– Size: 18 x 8 x 28 inches
– Thickness: 20 microns
– Printing: Two colors, two sides
– Packing: 2,000 bags per carton
– Quantities: 500,000 and 1,000,000 bags

This RFQ provides enough information to identify the product and begin the review, but it should not move directly into production. The fields may be classified as follows.

Confirmed

– Bag type, bag color and material direction
– The two quotation quantities
– Intended number of print colors and printed sides

Clarification required

– The order of the dimensions and whether 8 inches represents the total gusset or another measurement
– How the nominal 20-micron film thickness is defined
– Whether the artwork is the same or different on each side
– Whether 2,000 bags are packed directly into the carton or divided into inner packs

Supporting information required

– Artwork and print color information
– Bag folding or bundling method
– Carton marks, if the buyer has specific requirements
– Delivery location, delivery terms and the timing milestone required for project assessment
